Send quotes that turn into paid invoices
Build a clear, branded estimate, set a valid-until date, and send it for the client to accept or decline online. When they say yes, turn the quote into an invoice in one click — or have it convert automatically.
What it does
Platybooks gives you a full quoting and estimate tool built into the same editor you use for invoices. Add line items with quantities, unit prices, and tax, watch the totals update live, and set a valid-until date so the client knows how long your pricing holds.
Every quote gets its own sequential number (like QUO-0001) that stays gapless across your organization. You send a hosted link the client can open without logging in, where they review the estimate, download a PDF, and either accept or decline. You see the response and the status — sent, accepted, declined, or expired — without chasing anyone for an email reply.
When a quote is accepted, converting it to an invoice copies every line item, the client details, and the totals into a new draft invoice. Nothing is retyped, and the original quote is marked as converted so your records stay clean.
How it works
Start a new quote, pick a client (or add one on the spot), and add your line items. The right-hand tools bar shows live subtotals, tax, and the grand total as you type, and a live PDF preview shows exactly what the client will see. Set the valid-until date and add any notes or terms.
Finalize the quote to lock its number, then send it. The client opens the link, reviews the estimate, downloads the PDF if they want, and clicks Accept or Decline. The status updates automatically on your side.
Once a quote is accepted, use Convert to invoice to create a draft invoice from it in one click — then review and send it like any other invoice. You can also flip on auto-convert so an accepted quote becomes a draft invoice the moment the client says yes, with no extra step.
Why it matters
A quote is only useful if it turns into paid work, and the gap between sending an estimate and getting paid is where deals stall. Platybooks closes that gap. The valid-until date creates a natural deadline, the online accept and decline buttons make it easy for the client to commit, and one-click conversion means an accepted quote becomes an invoice in seconds instead of a retyping job.
You also get visibility you don't get from emailing PDFs back and forth. Your dashboard tracks your quote-to-invoice conversion rate, so you can see how many estimates actually win the work. And because quotes share the same numbering, branding, and PDF engine as invoices, everything you send looks consistent and professional.
Who it's for
Quoting and estimates suit any freelancer, agency, or small business that prices work up front before invoicing — consultants scoping a project, tradespeople estimating a job, designers proposing a package, or anyone who needs a client to approve a number before the work starts.
Quotes, accept and decline, and one-click conversion are available on every plan, including Free, so you can win and bill work without paying anything. If you want hands-off follow-through — automatic quote follow-up reminders before the valid-until date and auto-convert on acceptance — those run on the Pro plan's automation. Branded PDFs with your logo are included from the Starter plan up.
- Freelancers and consultants who scope and price projects before billing
- Agencies and studios sending proposals clients need to approve
- Tradespeople and service businesses estimating jobs on site
- Anyone who wants accepted quotes to become invoices without retyping
Frequently asked questions
What is a valid-until date and what happens when it passes?
The valid-until date tells your client how long the quoted pricing holds. It sets a clear deadline that encourages a timely decision. On the Pro plan, Platybooks can also send an automatic follow-up reminder before that date so a promising estimate doesn't quietly expire.
How does converting a quote to an invoice work?
When a quote has been accepted, click Convert to invoice. Platybooks copies the client, every line item, the tax, and the totals into a new draft invoice, and marks the original quote as converted. You review the draft and send it like any other invoice. You can also enable auto-convert (Pro) so an accepted quote becomes a draft invoice automatically.
Can clients accept or decline a quote without an account?
Yes. You send a hosted link the client opens in their browser — no login or account needed. They review the estimate, download a PDF if they like, and click Accept or Decline. The status updates on your side automatically, so you always know where each quote stands.
